Privacy Policy
This policy explains what WashRoute Pro collects, why we use it, when we disclose it, and the choices available to account users, crews, prospects, and people whose information a cleaning business stores in the service.
Cleaning businesses keep ownership of the information they put into WashRoute Pro. We use that information to run, secure, support, and improve the service - not to take ownership of their customer relationships.
1. Scope and our role
This Privacy Policy applies to WashRoute Pro's websites, applications, customer-facing quote and job links, communications, and related services (the “Service”). It does not govern a cleaning contractor's own services or privacy practices.
WashRoute Pro acts as a controller or business for information used to operate accounts, billing, product security, support, and our own marketing. When a cleaning business uses the Service to manage its customers, properties, crews, jobs, and messages, that business generally decides why and how the information is used. In that setting, WashRoute Pro generally acts as its processor or service provider.
If you are a homeowner, property contact, crew member, or other person whose information was entered by a cleaning business, contact that business first when practical. We help that business respond to verified requests as required by our agreement and applicable law.
2. Information we collect
Account and business information
- Name, business name, email, phone number, login details, account status, language, service area, timezone, role, membership, and business settings.
- Plan selection, trial status, subscription and usage records, invoices, payment status, and transaction references. Payment-card entry may be handled on a payment provider’s hosted checkout page.
- Support conversations, privacy requests, feedback, survey responses, and records of important account actions.
Customer, property, and job information
- Customer and property-contact names, phone numbers, email addresses, communication preferences, and consent or opt-out records.
- Service addresses, approximate or precise coordinates, property and surface details, measurements, service history, access instructions, risk notes, and customer-provided information.
- Leads, estimates, quotes, package selections, approvals, schedules, routes, jobs, checklists, invoices, payment status, reviews, referrals, and rebooking records.
- Photos, videos, documents, filenames, upload metadata, before-and-after proof, and notes, including voice-derived notes when that feature is enabled.
Crew and sales information
- Crew or representative identity, contact details, assigned work, role, territory, activity, job events, checklist completion, notes, proof uploads, and commission-related records.
- Device or sync identifiers and location or route context when needed for assigned field work. The Service is not designed for hidden, continuous employee surveillance.
Device, use, and security information
- IP address, browser and device type, operating system, locale, referring page, date and time, request identifiers, session and authentication events, and diagnostic or security logs.
- Actions taken in the Service, feature use, error information, provider delivery status, and redacted audit evidence.
- Cookie and local-storage information described in our Cookie Policy, including essential session, security, language, and preference data.
3. Where information comes from
- You, when you create an account, start a trial, contact us, upload content, or use the Service.
- A cleaning business that creates a record for a customer, property contact, crew member, representative, or subcontractor.
- Other authorized account users and people who use secure public links for photos, quotes, approvals, payments, reports, reviews, referrals, or rebooking.
- Connected service providers, such as payment, email, SMS, hosting, storage, mapping, routing, geocoding, or weather providers, when those services are configured.
- Public or commercially available property, mapping, and business sources when an account user asks the Service to use them.
4. How we use information
We do not use customer content to train a general-purpose artificial intelligence model unless the account owner affirmatively agrees to a separate arrangement. Automated or AI-assisted features, when enabled, are support tools and should be reviewed by the user before action.
- Provide accounts, trials, quotes, schedules, routes, crew tools, job records, proof, payments, reviews, referrals, rebooking, reporting, and commercial-site workflows.
- Authenticate users, resolve memberships and roles, secure public links, enforce permissions, prevent fraud and abuse, troubleshoot failures, and maintain audit evidence.
- Send requested operational email or text messages and, when valid consent or another lawful basis exists, marketing communications.
- Process payments, administer plans and usage, provide support, fulfill exports or privacy requests, and communicate service changes.
- Measure and improve performance, usability, accessibility, reliability, and product features using the minimum information reasonably needed.
- Comply with law, enforce agreements, establish or defend legal claims, and protect people, property, the Service, and our users.
5. When we disclose information
Based on the services configured as of this policy date, we do not sell personal information for money or use it for cross-context behavioral advertising. If those practices change, we will update this policy and provide legally required notice and choices before using information that way.
Account users and customer-directed recipients
Information is available to authorized people in the same business account according to role and job assignment. We also disclose information when an account user directs us to send a quote, payment link, job update, proof report, review request, referral, or other communication.
Service providers
We use providers for infrastructure, database or object storage, email, SMS, payment processing, mapping, routing, weather, logging, and related operations. They may process information only for the service they provide and under their applicable agreements. See our Subprocessors page for confirmed named providers and configuration status.
When weather workability is used for a scheduled job with saved coordinates, the Service sends Open-Meteo the property latitude and longitude, the account time zone, requested forecast variables, and request metadata. The forecast request does not include the customer name or street address, but coordinates can identify or approximate a property location.
Legal, safety, and business events
We may disclose information when reasonably necessary to comply with law or valid legal process; investigate fraud, abuse, or security incidents; protect rights, safety, or property; or complete a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets. A successor must continue to handle personal information consistently with applicable law and any notice we provide.
6. Payments
When payment features are enabled, checkout may be hosted by Stripe or another configured payment provider. The provider collects payment credentials under its own privacy terms. We receive transaction details needed to create a checkout session, match the payment to an account, quote, or job, prevent duplicate processing, and record payment status. We do not intentionally store full card numbers or card security codes in the application database.
7. Email, SMS, and customer communications
We and businesses using the Service may send operational messages about trials, accounts, quotes, bookings, jobs, payments, proof, support, or security. Marketing messages are treated separately and should be sent only when the sender has a lawful basis and honors opt-outs.
Reply STOP to supported text programs to opt out of future marketing texts from that sender. Use the unsubscribe method in a marketing email to stop future marketing email. Service or security messages that are necessary to administer an active account may continue where allowed. See the SMS Terms for more.
8. Retention and deletion
We retain information for the period reasonably needed to provide the Service, maintain business and financial records, honor consent and opt-out evidence, prevent fraud, support security and audit needs, resolve disputes, and comply with law. The period varies by data type, account status, legal obligations, and the instructions of the business account.
Account owners may use available export and deletion controls or submit a request. Deletion may involve de-identification or anonymization where complete erasure would undermine consent evidence, security records, financial records, a legal hold, or another lawful obligation. Information can remain temporarily in protected backups until those backups are rotated under normal operations.
9. Security
We use administrative, technical, and organizational measures designed to protect information in light of its sensitivity and the nature of the Service. No online service can promise absolute security. Visit our Security & Trust page for verified product controls and use the private Security option on our Contact page to report a suspected vulnerability.
You are responsible for protecting account credentials, using appropriate role assignments, securing devices, and promptly telling us about suspected unauthorized access.
10. Your choices and controls
- Update profile and business settings through the Service where available.
- Use account tools or contact the account owner to correct customer, crew, property, or job data.
- Export account data through available controls or request assistance.
- Cancel a subscription through account settings or the cancellation path described on this site.
- Manage supported cookie choices and browser settings.
- Unsubscribe from marketing email and reply STOP to supported marketing texts.
- Submit an access, correction, deletion, portability, opt-out, or appeal request through our Privacy Request page.
11. U.S. state privacy rights
Depending on where you live and whether an applicable law covers the relevant business, you may have rights to confirm processing; access, correct, delete, or receive a portable copy of personal information; opt out of certain sale, targeted-advertising, sharing, or profiling uses; limit certain sensitive-information uses; or appeal a denied request. We will not unlawfully discriminate against you for exercising a privacy right.
Submit a request through our Privacy Request page and keep the tracking reference it returns. We will verify the request in a way proportionate to its sensitivity. Authorized agents may submit requests where allowed, but we may require proof of authority and direct identity confirmation. If the cleaning business controls the information, we may route the request to that business and assist it.
- Categories collected include identifiers; customer and commercial information; internet or network activity; approximate or precise location related to properties, routes, or assigned field work; professional information; audio-visual content; and inferences or recommendations used to support quoting, routing, or operations.
- Sources, business purposes, and recipient categories are described in Sections 3 through 5 above.
- The current Service does not sell personal information or run cross-context behavioral advertising, so it has no related browser-signal preference to change today. If a processing activity that requires recognition of a browser-based opt-out signal is introduced, that signal handling and a matching preference control must be implemented before the activity is enabled.
12. Children
The Service is designed for businesses and adults and is not directed to children under 13. Account users must be at least 18. Do not knowingly submit a child's personal information unless it is necessary, lawful, and covered by appropriate permission. If you believe a child provided information improperly, contact us so we can investigate and take appropriate action.
13. International processing
The Service is presently offered on a U.S.-focused basis. Providers may process information in the United States and other countries where they operate. Those places may have different privacy laws. Where required, we use contractual or other lawful transfer measures appropriate to the processing.
14. Changes and contact
We may update this policy as the Service, providers, or law changes. We will post the updated date and provide additional notice when a change is material and notice is required. Prior versions remain identified by their version date.
